Cancellation Policy

We know plans change. Here's exactly what to expect if you need to cancel or reschedule a trip.

Refund schedule

Refunds are calculated from your total amount paid, based on how far ahead of the trip start date you cancel.

30+ days before the trip

90% refund

A 10% administrative fee covers processing and reserved capacity.

14–29 days before the trip

50% refund

Accommodation and transport are typically already booked and non-recoverable at this point.

7–13 days before the trip

25% refund

Most third-party costs (race entry, hotel, transport) are non-refundable this close to departure.

Under 7 days / no-show

No refund

Costs are fully committed to race organizers, hotels, and transport providers by this point.

How to cancel or reschedule

Email info@trek.co.ke or call our team with your booking reference. We confirm every cancellation in writing along with the exact refund amount before it's processed. Refunds are paid back to the M-Pesa number or account used for payment, typically within 7–10 business days. If you'd rather move your booking to a different Trek trip instead of cancelling outright, ask us — rescheduling to another upcoming event is often possible at no extra fee, subject to availability.

Exceptions

Trek-side cancellation: if we cancel a trip (e.g. insufficient numbers, event organizer cancellation), you receive a full refund or the option to transfer to another trip.
Medical emergencies: cancellations supported by a medical certificate are reviewed case-by-case and may qualify for a higher refund than the standard schedule above.
Non-refundable costs: some third-party costs (e.g. race entry fees already paid to an organizer) may be non-refundable regardless of notice given, where the organizer's own policy is stricter than ours.

This policy covers cancellations of your Trek booking only — it isn't travel insurance. We recommend independent travel insurance for coverage of flights, personal belongings, and trip interruption beyond what's outlined here.
